Terms and Conditions

1. Right of participants

Participation of a contestant in the Worldwide AI Hackathon is accepted on the condition of compliance with the following additional eligibility criteria, namely:

  • Contestant must be part of one and only one Contestant Team to take part in the Event;

  • Contestant Teams must have no more than five (5) Contestant;

  • Each Contestant Team must have appointed a Team Leader;

  • Innovative ideas or ready AI products from AI start-up which is relevant and fit to Hackathon challenges are welcomed to join the Hackathon with support from mentors.

The Worldwide AI Hackathon IS NOT open to:

  • Individuals who are residents of Crimea, so-called Donetsk People's Republic (DNR) or Luhansk People's Republic (LNR), Cuba, Iran, Syria, or North Korea;

  • Individuals or Organizations on the U.S. Commerce Department’s Denied Persons, Entity, or Unverified Lists or the U.S. Treasury Department’s list of Specially Designated Nationals and Consolidated Sanctions list (see https://www.treasury.gov/resource-center/sanctions/Programs/Pages/Programs.aspx)

2. Personal data and submissions

  • The personal data that you share during user registration, including but not limited to name, email address, telephone number, and individual CVs, resume, etc., will not be shared with any parties other than the Organizers, Judges, Mentors, and Sponsors solely for the purposes of executing the Worldwide AI Hackathon, advertising/marketing and/or advertising/marketing future Event opportunities to you, and distributing prize money. Explicit consent for any other uses of your personal data is requested during the registration process.

  • By entering the event, the contestants agree to give the organizer, access to the information you provide (this includes information you give us, submitting material, requesting services, entering competitions, registering for any of our online offerings or subscribing to our newsletters or other services).

    • Your name and email address.

    • Your CV or resume

    • Information you provide by your participation in competitions, live chats or message boards.

    • Information you provide to us if you contact us, for example to report a problem with our online services or raise a query or comment.

    • Details of visits made to our online services including, but not limited to, the volume of traffic received, logs (including, where available, the IP address and location of the device connecting to the online services and other technical information and identifiers about the device and the nature of the visit) and the resources accessed

  • By entering the event, the contestants agree to provide the organizer and the judges access to their submissions, which includes but is not limited to:

    • Project summary

    • A video or screen capture of the prototype;

    • Any APIs, SDKs, frameworks or other software libraries used in the project;

    • Any unique hardware used in the project; and

    • The GitHub/Gitlab repository with the open source code.

3. Conditions of participation

3.1. Submission Rules

  • The submission can be a completed product or paperwork which must be self-contained and zipped into a single file with the following requirements:

    • A video to demo product: Max 1-minute length and must be public

    • A Pitch deck: up to 10 slides

    • Codebase (Optional): Provide a publically available GitHub/Gitlab or other code repository

    • Document (Optional): the paper must be PDF only (maximum 8 pages)

  • By submitting the outputs to Organizers, authors acknowledge that it has not been published or accepted for publication in a substantially similar form in any peer-reviewed venue, including a journal, conference or workshop, or archival forum at the moment the Hackathon is running. Furthermore, no publication substantially similar in content has been or will be submitted to this or another conference, workshop, or journal during the hackathon period. Violation of any of these conditions will lead to rejection and will be reported to the other venue to which the submission was sent.

  • Only upon completion of all required fields is your application considered complete. The submission deadline is August 01st 2023 (tentatively). You are encouraged to submit your application before the deadline in case any IT issues arise. Each Contestant Team can submit only one Hackathon Submission.

  • Hackathon Submissions that have not been submitted, or Hackathon Submissions submitted past the above mentioned deadline, are not eligible for evaluation. Eligible submissions will be reviewed by the Judges following the application deadline.

  • The final decision on the selection is made by Hackathon Judges and shall not be subject to dispute in a court of law. These decisions shall be final and binding for all Contestants and Contestant Teams in the Event. Contestants shall have no right to the justification for the decisions made by Hackathon Judges of any selection procedure.

3.2. Intellectual property and license

  • The ownership of any intellectual property developed by contestants during and within the scope of the Hackathon will remain with the individual contestants. Within the contestant team, the contestants should agree among themselves on the distribution of intellectual property rights. The contestants can choose, at their own discretion, to open source the intellectual property and license it, e.g. under one of the licenses referenced in https://choosealicense.com. contestants are advised to seek legal counsel on how their intellectual property may be treated if jointly created without an agreement in place.

  • By joining the Hackathon, contestants expressly authorize the organizer to publish, communicate, exhibit, and disclose orally, graphically, or in writing, and with no compensation involved, projects and prototypes presented during the Hackathon.

  • Each contestant agrees to be mediatized (portfolio, website, etc.) and authorizes the organizer, without expectation of any benefit, financial or otherwise, to present all the works realized, on all the communication media used in support of this Hackathon as well as allow the use of names, first names, and images of the contestants.

  • The contestant shall not acquire any full or partial right of any kind on the name and trademark of the Event nor on any names and/or brands associated with them, used alone, in association with or as part of another word or name, or any rights on trademarks, names or logos of the Event or any of its associated or related companies.

  • Any images taken by the organizers during the Event and the finale are and remain the property of the organizers. You may not print, copy, reuse or distribute these images without the permission.

  • The contestant must not modify the physical or digital copies of any content you print off or download in any way, and you must not use any illustrations, photographs, video or audio, or any graphics separately from any accompanying text.

3.3. Copyrights

By submitting an Entry or accepting any prize, you warrant that your Submission is your own original work and, as such, you are the sole and exclusive owner and rights holder of the Submission, and you have the right to make the Submission and grant all required licenses. You agree not to make any Submission that: (i) infringes any third-party proprietary rights, intellectual property rights, industrial property rights, personal or moral rights, or any other rights, including without limitation, copyright, trademark, patent, trade secret, privacy, publicity or confidentiality obligations, or defames any person; or (ii) otherwise violates any applicable U.S. or foreign state or federal law.

3.4. Content

By posting Content to the forums within the platform , you grant us the right and license to use, modify, perform, display, and distribute such Content on and through the Platforms. You retain any and all of your rights to any Content you submit, post, or display on or through the Platforms and you are responsible for protecting those rights. All Content remains the intellectual property of those that developed them. You agree that this license includes the right for us to make your Content available to other users of the Platforms, who may also use your Content subject to these Terms.

You represent and warrant that:

  • The Content is yours (you own it) or you have the right to use it and grant us the rights and license as provided in these Terms; and

  • The posting of your Content on or through the Platforms does not violate the privacy rights, publicity rights, copyrights, contract rights, or any other rights of any person.

Further, you warrant that:

  • The Content will not cause you or us to breach any law, regulation, rule, code, or other legal obligation;

  • The Content will not or could not be reasonably considered to be obscene, inappropriate, defamatory, disparaging, indecent, seditious, offensive, pornographic, threatening, abusive, liable to incite racial hatred, discriminatory, blasphemous, in breach of confidence, or in breach of privacy;

  • The Content will not be unsolicited, undisclosed or unauthorized advertising;

  • The Content does not contain software viruses or any other computer code, files, or programs designed to interrupt, destroy, or limit the functionality of any computer software, hardware, or telecommunications equipment; and

  • The Content does not bring us or the Platforms into disrepute. You agree to keep all records necessary to establish that your Content does not violate any of the requirements of this clause and make such records available upon our reasonable request. We are under no obligation to regularly monitor the accuracy or reliability of your Content incorporated into the Platforms. We reserve the right to modify or remove any Content at any time.

3.5. Judging criteria

All submissions will be evaluated and scored by the Judges on six (6) criteria (tobe updated):

  • Originality/creativity

  • Benefit to humanity

  • Innovation

  • Functionality

  • Practical implementation

  • Consistency with hackathon theme

4. Selection at the Finale

4.1. Submission process

The selection process of the final winners of the Worldwide AI Hackathon is executed in the Worldwide AI Hackathon platform. The judges will select the top three submissions in each competition. Additional prizes or winners may be declared, or prizes awarded, at the discretion of the Organizers, or their partners or sponsors.

The selection of the top winners of the Worldwide AI Hackathon is executed exclusively in English via live pitching by the Contestant Team at the Finale. The final decision on the selection is made by Hackathon Judges and shall not be subject to dispute in a court of law. These decisions shall be final and binding for all Contestants and Contestant Teams in the Event. Contestants shall have no right to the justification of the decisions made by Hackathon Judges for any selection procedure.

4.2. Awards

4.2.1. Verification of potential winners

  1. Verification Requirement: The award of a prize to a potential winner is subject to verification of the identity, qualifications, and role of the potential winner in the creation of the submission. The final decision to designate a winner shall be made by the Judges and Organizers.

  2. Required Forms: Potential winners will be notified using the email address associated with the registered account used to enter the Submission (the submitter is the “Representative” in the case of a Team). In order to receive a Prize, the potential winner (including all participating team members in the case of a Team) will be required to sign and return to the organizers, affidavit(s) of eligibility (or a similar verification document) and liability/publicity release(s), and any applicable tax forms (“Required Forms”). Deadline for Returning Required Forms: ten (10) business days after the Required Forms are sent.

  3. Disqualification: The Organizers may deem a potential winner (or participating team members) ineligible to win if:

    a. the Organizers reasonably believes that the Contestants has attempted to undermine the legitimate operation of the Hackathon by cheating, deception, or other unfair playing practices or abuses, threatens or harasses any other participants, Competition Sponsor or Organizers;

    b. the potential winner’s Representative or any participating member does not respond to multiple emails or fails to sign and return the Required Forms by the deadline listed above, or responds and rejects the Prize;

    c. the Prize or Prize notification is returned as undeliverable.

In the event of a disqualification, the organizers may award the applicable Prize to an alternate potential winner.

4.2.2. Prize distribution

  1. Substitutions & Changes: The Organizers have the right to make a Prize substitution of equivalent or greater value. The Organizers and Judges will not award a Prize if there are no eligible Submissions entered in the Event, or if there are no eligible or Submissions for a specific Prize.

  2. Prize Delivery: Prizes will be payable to the Contestant, if an individual, or to the Contestant’s Representative, if a Team. It will be the responsibility of the winning Contestant Representative to allocate the Prize among their Team’s participating members, as the Representative deems appropriate. A monetary Prize will be mailed to the winning Contestant’s address (if an individual) or the Representative’s address (if a Team), or wired to the Contestant or the Contestant’s Representative’s bank account, only after receipt of the Required Forms. Failure to provide correct information on the Required Forms, or other correct information required for the delivery of a Prize, may result in delayed Prize delivery, disqualification of the Contestants, or forfeiture of a Prize.

  3. Prize Delivery Timeframe: Within 30 Days of the organizers’ receipt of the Required Forms

  4. Fees & Taxes: Winners (and in the case of the Team, all participating members) are responsible for any fees associated with receiving or using a prize, including but not limited to, wiring fees. Winners (and in the case of the Team, all participating members) are responsible for reporting and paying all applicable taxes in their jurisdiction of residence (federal, state/provincial/territorial and local). Winners may be required to provide certain information to facilitate receipt of the award, including completing and submitting any tax or other forms necessary for compliance with applicable withholding and reporting requirements. United States residents are required to provide a completed form W-9 and residents of other countries are required to provide a completed W-8BEN form. Winners are also responsible for complying with foreign exchange and banking regulations in their respective jurisdictions and reporting the receipt of the Prize to relevant government departments/agencies, if necessary. The organizers and/or Prize provider reserve the right to withhold a portion of the prize amount to comply with the tax laws of the United States or other organizers’ jurisdiction, or those of a winner’s jurisdiction.

5. Termination

We may terminate your participation to the Event in written (by letter or e-mail) without limitation if you breach these Terms & Conditions. This termination will take effect immediately after such termination letter or e-mail has been sent, with the date indicated on post or time stamps as legal basis. Upon termination, your right to benefit from the Event will immediately cease.

If you wish to terminate your participation to the Event, you may do so in writing (by letter or e-mail). This termination will take effect immediately after such termination letter or e-mail has been sent.

All provisions of the Terms & Conditions which by their nature should survive termination shall survive termination, including, without limitation, ownership provisions, warranty disclaimers, indemnity, limitations of liability and Non-Disclosure Agreements.

We shall not be liable to you or any third party for any claims or damages arising out of any termination or suspension or any other actions taken by us in connection therewith.
